There is no right way to send this. A sentence is enough; so is a photograph of something you saw once. We read every enquiry ourselves.

You will get a written estimate and a drawing before you are asked to commit to anything.
Practical NOTES.
Twelve to sixteen weeks from the first conversation is normal. Six is possible for simple work and carries a rush charge. Tell us your date at the start rather than at the end.
Commissions start around £2,400 and most land between £3,000 and £9,000. Say your range in the first email — it changes the stone long before it changes the design, and we would rather design to it than around it.
We reset inherited stones often and gladly. We will assess the stone before promising anything: old cuts sometimes carry chips at the girdle that must be designed around, and we will tell you if we think it should be left alone.
We post a sizer set out before we cast, and size the finished piece to the hand it will live on, in the season it will live in. Resizing in the first year is free.
Everything ships fully insured and signed-for within the UK and internationally. We photograph each piece before it is packed.
Re-polishing, re-tipping and cleaning are free for the life of the piece. Post it insured or bring it in.
